At Designery Media Ltd., a company specializing in digital engagement solutions and content creation, we are looking for a dynamic and detail-oriented Administrative Assistant to provide administrative support and contribute to the smooth operation of our fast-paced, creative environment.

JOB DUTIES
The duties of the Administrative Assistant at Designery Media Ltd. will include but are not limited to:
• Prepare, edit, proofread, and format correspondence, invoices, presentations, brochures, reports, and other materials, ensuring clarity and consistency in line with the company’s brand voice and high standards.
• Open and distribute incoming regular and electronic mail, effectively managing communication flow within the company and with external stakeholders, including clients, partners, and service providers.
• Schedule and confirm appointments and meetings, ensuring that all details are aligned with team priorities and client expectations.
• Order office supplies, maintain inventory, and ensure that all necessary materials are available to support the daily operations of the office, contributing to a smooth workflow.
• Manage incoming calls and electronic inquiries with professionalism, relaying messages promptly and directing inquiries to the appropriate team member or department.
• Set up and maintain both manual and computerized filing systems to ensure that all documents and information are stored in an organized, efficient, and accessible manner.
• Determine and implement office procedures to streamline operations, promote efficiency, and foster a collaborative, positive work environment.
• Greet visitors, determine the nature of their business, and direct them to the appropriate team members, ensuring a welcoming and professional atmosphere.
• Record, prepare, and distribute meeting minutes, ensuring all key points, action items, and decisions are captured accurately for future reference and follow-up.
• Arrange travel schedules, make reservations, and assist in coordinating logistics for conferences, team events, and client engagements, ensuring all details are meticulously organized.
• Compile data, statistics, and other information to support research and content development activities, aiding the team in creating targeted, impactful digital marketing strategies and solutions.
• Assist in organizing conferences, workshops, and client engagements, ensuring seamless execution and a high-quality experience for all participants.
QUALIFICATIONS
• Completion of secondary school is required.
• 1 to less than 7 months of experience working in related field is required.
