Job Description
At the Art and Soul Montessori, Family Day Homes agency, the Executive Assistant is an all-encompassing administrative role that performs assignments delegated by the Executive Director based on long- and short-term organizational objectives.
The Executive Assistant is required to keep the mission and mandate of Art and Soul at the forefront of performing their job duties, representing the organization both internally and externally.
Duties and responsibilities: –
• Assist the programs manager in managing grants, claims and subsidies
• Understanding the provincial regulations to review and update the agency’s policies and standards, and insurance coverage accordingly
• Ensure timely resolution of claims and maintain accurate financial records
• Work with the Executive Director to prepare grant agreements and Administer grants processing through full cycle: submission process, tracking, communication, payments and reporting requirements.
• Prepare and distribute agendas and meeting notices, and coordinate meeting logistics, including scheduling, audio recordings, technical support, and participation procedures.
• Establish and coordinate administrative policies and procedures for the agency staff, educators and directors.
• Review and update the agency policies and procedures as per the FDH standards.
• Responsible for the compliance reporting, training & education, implementing compliance risk assessments and resolving compliance issues.
• Prepare/maintain/update the agency contracts/agreements as per the guidelines.
• Prepare analysis, reports and dashboards related to enrollment, claims, funding, training and professional development.
• Meet the agency staff, consultant, educators and the parents on the regular basis to discuss issues and assess and recommend various courses of action
• Liaise with the government officials, licensing officers and answer queries related to compliance, reporting compliance officers, and other stakeholders on behalf of the agency directors.
• Draft, review and send communications on the Executive Director’s behalf, within an established set of guidelines.
• Manage and oversee event management – ensure registration and participation of internal and external events as required.
• Work on special projects assigned and carry out any other administrative duties in a timely manner, with the utmost accuracy, professionalism, and objectivity.

QUALIFICATIONS:
Language Requirement: Written and oral fluency in English. Basic French knowledge is considered an asset.
Education and Experience Requirements: A diploma, degree, or equivalent, in administration, human resources, project management or relevant discipline. Experience in a similar or related senior administrative roles is desired; relevant combination of skills and experience will be considered on a case-by-case basis.
Required Skills and Abilities:
o Strong technical skills with full knowledge of Microsoft Office Suite.
o Excellent verbal and written communication skills including demonstrated ability to compose a variety of documents with accuracy and professionalism.
o Time-management skills including the ability to multitask and manage multiple priorities.
o An exceptional ability to pay attention to detail.
o Basic knowledge of claims assessment and management
o Ability to develop processes to ensure efficiency and ease of access to information.
o Relationship building and interpersonal skills.
o Must be a proactive self-starter and able to exercise sound judgment.
o Comfortable speaking with a wide variety of external and internal stakeholders.
o Demonstrated problem solving and critical thinking abilities.
